Describe the stage and surface

Record whether the area is unfinished, prepared for painting or presented as complete. Name the room, wall or ceiling and a stable reference such as an opening or junction. Note lighting and access conditions where they affect what could be seen.

Acceptance criteria depend on the project requirements and relevant competent assessment. This guide does not prescribe finish tolerances or diagnose cracks. A close-up is evidence of appearance at a location, not proof of a structural cause.

A useful lining observation record

• Surface mark or damage: identify the position and visible extent.
• Joint or junction: describe where the observation runs and what it looks like.
• Incomplete finishing: name the area still awaiting work.
• Interface: identify adjacent joinery, trim or paint affected by the sequence.
• Limitation: state where access, protection or lighting prevented review.

Take a context view before the detail image. Ceiling photos can become difficult to orient once the inspector leaves. Include the doorway or another recognisable feature and describe the camera viewpoint in the caption.

Example of a documented junction

A neutral entry might read: “Level 1 corridor, wall above Meeting 02 door. Visible line at lining junction extends toward the corner. Observed under corridor lighting; cause not assessed.” Use photographs that show the whole reference area and the part being queried.

Request assessment by the responsible person and record any supplied explanation as attributed information. If a repair is proposed, clarify whether repainting or trim work is a separate follow-up. Do not mark all related work complete when only the base repair has been reported.

Keep the finishing sequence visible

Create separate records where lining repair and decorative finishing have different owners or verification points. Add the dependency in the description so the paint contractor understands why an area is not yet ready.
