How to Organise Site Photos by Room
Room-based photo organisation starts during the walk. Connect each image to a location and an observation while the context is fresh, then review the sequence before moving to another room or property.

Agree room names before capture
Use the project room labels where available. For repeated layouts, include the unit, floor or building. “Bedroom 1” may work in a house but becomes ambiguous across twenty apartments. Add a plain-language description if the official code is unfamiliar to recipients.
Decide how to distinguish fixed components within a room. A location such as “cupboard left of oven” is easier to maintain than “photo 27”. The image number may change when files are imported or reports are filtered.
Attach images to the observation
In Site Audit, create the issue and add its related photos rather than collecting a large undifferentiated gallery first. Enter the location and a short description while standing at the item. Add a context image and the detail needed to explain it.
- Confirm the correct project before starting each room.
- Use the same room spelling across related records.
- Caption similar photos with the component and purpose.
- Review the images before leaving an area that may become inaccessible.
- Keep unrelated observations in their own records.
The app organises photos against issues. It does not automatically recognise a room from a photograph or sort your phone gallery into inspection locations.
Recover a mixed camera-roll sequence
If you already have separate gallery photos, review them against your visit notes before import. Group images only when you can confidently identify their location and observation. Ask the original photographer about uncertain frames rather than assigning them to the most likely room.
For example, two identical bathrooms may contain similar detail shots. A wide image showing a distinctive doorway can establish the correct unit; without that evidence, record the uncertainty and avoid using the photo as a confirmed finding at a specific address.
Review the report as a location test
Generate the PDF and read the photos without relying on your memory of the walk. Can a contractor identify the room and component from the written location and context image? If not, improve the record before sending it.
