Construction Photo Report Template
A construction photo report connects images to observations. Give each image enough context to explain where it was taken, what it shows and whether any response is required, rather than sending a gallery the reader must interpret alone.

Choose the purpose of the report
State whether the document records defects, visible condition or selected progress observations. Identify the project, visit date, author and areas covered. Do not call a small set of photos a complete inspection if the visit had a narrower purpose.
For a formal progress or daily report, other records may be needed, such as programme, labour or delivery information. Site Audit is designed around observations and issue reports; it does not automatically create a complete daily construction log.
Use a repeatable photo entry
- Reference: the observation or item the photo supports.
- Location: room, zone and exact position.
- Date and source: when captured and who supplied it, where known.
- Caption: what the reader should notice.
- Observation: a factual description separate from an inferred cause.
- Action: the response needed or a clear statement that the entry is for information.
Use a context image and a detail image where both are necessary. Do not repeat almost identical photographs just to make the document longer. Include the image that answers the location question and the one that answers the observation question.
Worked photo-report entry
An illustrative entry is: “PR-006, Level 1 kitchenette, cupboard beside oven. Context image locates the cupboard; detail image shows contact at lower door corner during ordinary opening. Contractor assessment requested.” The images serve different purposes and belong to one clearly located observation.
If the image was supplied after the visit, identify that source and avoid giving it the visit's capture date without confirmation. If there is no requested repair, explain why the observation is being included so it is not mistaken for an instruction.
