Add Gallery Photos to an Inspection Report
Existing gallery photos can support an inspection report when their location, source and meaning are clear. Importing an image is only the first step; the report also needs a description that accurately explains what the photograph represents.

Review the source before adding it
Identify who took the photo, where it was taken and the capture date if known. Distinguish the date of the observation from the date you received or imported the file. Do not infer either simply from the order in your phone gallery.
Check that you are authorised to use the image for the intended report and that it does not include unnecessary personal information. If the image came through messaging, ask for the original file when detail or context is insufficient.
Add it to the correct project item
Open the relevant issue in Site Audit and use the gallery photo option to select the image. Keep related context and detail photos with the same observation. Review the thumbnail and full image before assuming the correct file was selected.
- Confirm the project and room before import.
- Match the photo to the actual condition described.
- Add a caption explaining the view and source where relevant.
- Keep unrelated images out of the item.
- Mark uncertainty explicitly when location or timing is unconfirmed.
Photo selection depends on the Android picker and files available on your device. A remotely stored image may need to be available locally before an offline visit; test the intended workflow while connected.
Example of an imported contractor photo
Suppose a contractor supplies an image of a repaired cupboard. Add it to the relevant item only after confirming the component reference. A useful caption is “Image supplied by joinery contractor on 5 October; stated to show item K03 after adjustment. Inspector verification pending.”
If the capture date is not known, do not turn the receipt date into a capture claim. Also avoid saying the photograph proves the drawer operates correctly when it only shows a closed front.
Check the PDF and preserve the working record
Generate a report with photos included and inspect the imported image in the actual PDF. Check the caption, orientation and useful detail. If the photo is already compressed or blurred, Maximum export quality cannot recreate missing information.
