An offline site inspection workflow for Android
Poor reception should be a planned part of the visit. Prepare the phone and project while connected, record and review observations on site, then complete delivery and backup when a connection is available.

Prepare before leaving coverage
Install and open Site Audit before travelling. Set up the intended project, confirm the address, and check camera access by recording a test observation. Make sure the phone has storage available and enough battery for photographs, screen use and the return trip. Carry the access information and drawings you need in a form available without a connection.
If the visit requires Pro features, complete the Google Play purchase while connected and confirm they are unlocked before departure. Do not plan a first purchase, reinstall or purchase recovery for the basement of a building with no reception.
Run a short rehearsal on your own device: turn on airplane mode, create an observation, add photos and generate a PDF. Open that PDF with a viewer available on the phone. This checks your installed apps and permissions, rather than assuming a workflow will behave the same on every device.
Record a complete observation at the item
Site Audit stores its inspection records on the device. For each defect, capture the location, description and supporting photos together. Review the detail image while you can still retake it. Add the responsible company when known, along with the practical priority and next action.
Typed notes are a dependable fallback. Voice entry can depend on the speech service and language support on your Android device, so test it separately if you intend to dictate without a connection. Do not leave the description empty because a speech service is unavailable.
Use a consistent location convention as you move through the building. Offline capture solves connectivity; it does not make a vague room description easier for a contractor to interpret later.
Review and generate the report on site
Before leaving, review the issue list for missing locations, unclear photos and duplicated observations. Generate the PDF on the phone. Check the cover, a detailed item and the end of the document, then confirm the file can be opened again.
This is a useful point to catch an omitted area or a photograph that needs another angle. If an area was inaccessible, record that limitation accurately in the report comments and arrange a follow-up through the responsible person. An empty list for an inaccessible room must not be mistaken for a completed inspection.
Complete delivery when connected
After reconnecting, share the checked PDF through the destination app on your device. Opening the Android share sheet does not mean a message has been sent. Finish the action in the email or messaging app and check whether it remains in an outbox.
Save a separate copy of the issued report and create a backup of the working records. Site Audit does not automatically upload or synchronise projects when reception returns. Moving a backup to cloud storage is a step you perform, using your chosen storage destination and its access settings.
The report email templates can help specify which file is current, what reply you need and when the next visit is planned.
Keep one clear owner of the current record
For a solo inspector, the phone can hold the working project while clients and contractors receive PDFs. For several inspectors, agree who consolidates findings before anyone starts. Separate phones do not become a shared project merely because each device works offline.
Pro supports repeat jobs with unlimited projects and more export options. It does not add cloud sync or simultaneous editing. If your team requires those capabilities, include them in the software selection decision. For document-based coordination, define the record owner, report issue process and backup routine before the next site visit.
