Turn Voice Notes into Defect Descriptions
Voice entry can help capture a description while the observation is fresh, but the resulting text still needs review. A short speaking structure reduces ambiguity and makes transcription errors easier to spot before they reach a client report.

Speak the location and observation separately
Start with the room and component, then describe what you observed. Finish with the response needed if it is known. Avoid a long stream mixing three defects, a contractor conversation and a guess about the cause.
For example: “Kitchen. Cupboard immediately left of oven. Lower door corner contacts adjacent panel during normal opening. Joinery contractor to assess.” Enter the relevant location and assignment fields deliberately rather than assuming spoken words will be categorised automatically.
Review the transcription at the item
Site Audit supports voice-to-text descriptions. Android speech services and language support can affect availability, particularly offline. Test the device before relying on dictation at a site with poor reception and keep typed entry as a fallback.
- Check room numbers, trade names and directional words.
- Read negations carefully: “not inspected” must not become “inspected”.
- Confirm any measurements and units you chose to record.
- Remove conversation that does not belong in the observation.
- Split separate actionable findings into separate records.
Do not assume voice entry preserves an audio evidence file or creates a verified transcript. Review the text that is actually saved in the issue.
Improve a rough dictated note
A rough note might read: “Door bad left kitchen doesn't work need fix.” Rewrite it to identify the specific door, describe the behaviour and avoid an unsupported diagnosis: “Kitchen base cupboard beside oven. Door contacts adjacent panel during ordinary opening. Contractor assessment requested.”
The corrected version is still concise, but a reader can locate and understand the item. Add photos and captions rather than making the spoken description carry every detail by itself.
Check the finished report
Generate and read the PDF after completing the project notes. A transcription error may be hard to notice on the capture screen but obvious when paired with the wrong room photo. Confirm the location, description and image all refer to the same observation.
