Snagging report email templates for builder follow-up

The email should tell the recipient which report to open, what response you need and how to refer to the items. These three examples keep the correspondence short while the attached report carries the evidence.

Check the attachment before writing the message

Open the PDF you are about to send. Confirm the property, inspection date, included items and recipient. Check that the photos and captions are readable and that the filename distinguishes this issue from earlier versions. The Android report walkthrough includes the export checks.

Choose one clear request for the email: acknowledge the report and propose actions, update outstanding items, or arrange a return visit. If you need several responses, list them briefly. Keep the detailed observations in the attachment so they remain with the photographs.

Replace the bracketed fields in the templates below. These are ordinary coordination messages. If you need to give a formal notice under a contract or a legal process, check the applicable requirements separately rather than assuming an email template satisfies them.

Template 1: send the first snagging report

Subject: [Property or project] — snagging report from [inspection date]

Hello [Name],

Please find attached [exact filename], recording the items observed during our visit to [property or project] on [date].

Please confirm receipt and provide a proposed action and timing for each outstanding item. When replying, use the item reference together with its title or location so we can keep the response with the correct record.

If an item needs clarification or you believe it should be directed to someone else, please identify it and explain the question or proposed contact.

[If applicable: Please let us know any access requirements before arranging work.]

Could you provide an initial response by [requested response date]? Please let me know if we need to agree a different date.

The requested response date is a coordination request unless another arrangement applies. Avoid writing an arbitrary date as though it were an agreed contractual deadline. If a date has already been agreed, refer to that agreement accurately.

Template 2: ask for a focused progress update

Subject: [Project] — update requested on [report date/version]

Hello [Name],

I am following up on [exact filename], sent on [date]. The latest response I have is [brief reference, or “I have not yet received a response”].

Please update the following items: [item references with short titles or locations]. For each, please confirm whether work is planned, in progress or reported complete, and give the expected or actual completion date.

Please also identify any access issue, dependency or information needed from us. Where work is reported complete, let us know whether a return visit can now be arranged.

Could you send the update by [requested date], or suggest a suitable response date?

Name the outstanding items instead of forwarding an entire email chain with “Any update?”. If you attach a revised report, explain that it is the current version and retain the previous file in your records. Do not silently replace an attachment while continuing to refer to the old item numbering.

Template 3: arrange a return visit to check repairs

Subject: [Project] — reinspection of reported repairs

Hello [Name],

Thank you for the update dated [date]. You have reported the following items complete: [references, titles or locations].

We would like to arrange access on [proposed date/time] to check those items against the original report. Please confirm whether that time is suitable and identify any access arrangements or areas that will remain unavailable.

Please also confirm which other items remain outstanding so the visit and follow-up record can reflect the current position.

After the visit, we will issue a dated record of the items checked and any remaining questions or work.

This wording distinguishes a reported repair from the result of your own check. Use the reinspection checklist to prepare the original evidence, access questions and outcome notes.

Remove ambiguity before pressing send

  • “Please fix everything”: identify the report and request an item-by-item response.
  • “See photos”: attach the checked report that connects each photo to a location and description.
  • “Item 5”: include the file version and title or location, especially when filtered exports have different numbering.
  • “All done”: state which items are reported complete and what has actually been checked.
  • An unconfirmed deadline: distinguish a requested date from one already agreed.

For several trades, prepare contractor-specific lists and make the coordinator clear. An assignment in the app does not send an email automatically; complete the sharing action in your email application.

Keep the issued file with the conversation

Save the exact attachment, sent message and subsequent replies together. Record any agreed changes or reported completion against the relevant issue. If an important arrangement was made by phone, follow up with a brief written record and invite correction if you have misunderstood it.

Finally, create a backup of the working inspection data. The correspondence explains what was communicated; the PDF preserves what was issued; the app records support the next inspection.
