Flooring Defect Report Checklist
A flooring report should show exactly where an observation sits within the room and which material is affected. Keep visible condition, reported history and any technical assessment separate so the reader can see what is known.

Locate the observation without relying on furniture
Use a doorway, permanent wall or fixed joinery as a reference. A chair may have moved before the flooring contractor returns. For a repeated pattern, include a wider image showing the position and a closer image of the affected board, tile or sheet.
Record the floor covering and whether it was fully visible. Rugs, stored materials, protective sheets and poor lighting can limit the walk. Do not describe a protected area as clear merely because no issue was visible from its edge.
Capture a useful floor condition record
- Identify visible marks, chips, lifting edges or unfinished transitions in plain language.
- State whether the observation lies at a doorway, perimeter or material junction.
- Separate contamination or cleaning questions from confirmed surface damage.
- Record the surrounding condition and any existing protection.
- Note any ordinary-use observation without inventing a structural cause.
Questions about level, moisture, adhesion or suitability require the appropriate method, equipment and acceptance criteria. This checklist does not provide universal floor tolerances. Report a concern for assessment instead of turning a photo into a technical verdict.
Example: a mark beside a doorway
A worked description might read: “Bedroom 2, floor inside entry, board adjacent to latch-side architrave. Linear surface mark visible along board face. Area uncovered during visit; no information available about when the mark occurred.” The context image includes the doorway, and the detail image shows the mark.
If another person says the mark predated the works, record who supplied that information and request the earlier record. Preserve the current observation while checking the history. A pre-start condition record can make later comparison more precise, but it does not automatically establish responsibility.
Plan and document the return visit
Ask the responsible contractor to review the observation and specify access needs. Confirm who will move furniture or remove protection. If a room cannot be used during the work, coordinate that arrangement outside the defect list with the authorised people.
