School Holiday Maintenance Inspection Records
A school holiday maintenance round has a defined access window and a long list of rooms. Record observations using the school's building and room references, then separate repair tasks from the operational decision about reopening an area.

Establish the authorised inspection route
Agree the spaces available for the walk, the responsible site contact and any restrictions. Record rooms that remain locked, occupied or outside the scope. Follow the institution's access and safeguarding arrangements; this article is a reporting workflow, not a school compliance checklist.
Keep pupil names, photographs, records and other unnecessary personal information out of the inspection images. A context photo should locate the item without capturing an entire noticeboard or desk covered in documents.
Record work that can be planned
Use a building-room-component format, such as “Block C, Room 12, storage cupboard beside entry”. Include the observation date and a clear description. Avoid a general item called “classroom repairs” when the work involves different trades or separate access requirements.
- Identify visible condition and incomplete work precisely.
- Record who needs to assess the item or confirm its scope.
- Note materials or preceding work reported as outstanding.
- Identify the access window that must be confirmed.
- Keep specialist testing and required inspections in their own processes.
Priority in the issue list can help organise work, but it does not determine whether a room may reopen. That decision belongs to the authorised people using the relevant requirements and evidence.
Example of a time-limited repair item
An illustrative entry is: “Block C, Room 12, low cupboard near entry. Exposed edge trim partly detached. Recorded during holiday maintenance walk; contractor assessment requested.” Include a context view and a detail, plus the contact who will confirm access.
If the contractor cannot complete work within the proposed window, record the revised plan and outstanding decision. Do not mark an item resolved merely because an order was placed. Separate procurement, attendance and verification so the next coordinator can see what remains.
