Outstanding Works List Template
An outstanding works list records tasks still to be completed at an agreed review point. Make the remaining action explicit and distinguish it from a defect observation, a scope question or a requested change.

Define what belongs on the list
Start with the area, work package and date of review. Include identifiable incomplete tasks rather than a general instruction to finish the job. Record whether each task is within the confirmed scope or still awaiting a decision.
An item can be incomplete without a technical defect having been established. Conversely, installed work may need assessment even though it appears finished. Keep the observation and the proposed action clear enough that the recipient can respond to each.
Copy this field structure
- Reference: a stable identifier used in messages and later reports.
- Location: building, room and exact component.
- Remaining action: the specific work or decision still required.
- Owner: the company or coordinator expected to respond.
- Dependency: access, information, materials or preceding work.
- Target and review: the agreed date or the date a response is requested.
- Outcome: what was completed, checked or still unavailable.
Use a target date only with an explanation of what it represents. A proposed date, supplier estimate and agreed attendance are not interchangeable. Keep the source of the date in the note when that distinction matters.
Worked entry for an incomplete trim
For example: “OW-014, Level 1 reception desk, end panel. Finish trim outstanding. Joinery company to confirm delivery and installation plan. Adjacent decorating follows trim completion. Response requested by 3 October; installation date not yet agreed.”
A context photo can help identify the location even where there is no visible damage. The record should not be marked complete when the contractor merely confirms an order. Record delivery, installation and any required verification as different events in the follow-up note.
Use the list alongside the defect record
