Retail Store Maintenance Inspection Reports
A retail maintenance report must explain the location in a working store and the conditions for returning to it. Use fixed shop references, keep customer information out of photos and coordinate repair access around the store's authorised operating arrangements.

Divide the store into stable zones
Record areas such as entrance, sales floor, service counter and back-of-house using the store's own naming. Temporary promotional displays are weak permanent references. Add a fixed column, wall or fixture identifier where it helps locate the item.
State which areas were available during the walk and which were occupied, locked or outside scope. Do not interrupt restricted work or move equipment simply to obtain a better photo. A recorded access limitation is preferable to an unsafe or unauthorised inspection.
Keep the observation useful to the repair team
- Identify the fixture or surface and its exact position.
- Describe visible condition or ordinary-use behaviour.
- Separate cleaning questions from damage that has been confirmed.
- Record whether the area remains in operation during the visit.
- Identify any access or preceding-work dependency for the coordinator.
If an observation needs immediate attention under store procedures, follow that process separately. A high-priority label in the app is a record field, not an alert to store staff or a safety decision.
Example for a service-counter item
An illustrative record is: “Service counter, staff side, second storage door from entrance end. Door contacts adjacent panel during ordinary opening. Counter occupied during visit; no adjustment attempted.” Include a context image without customers and a detail of the component.
The repair team may need an access window when the counter can be taken out of use. Ask the store coordinator to confirm that arrangement. Do not put a proposed attendance time into a report as if it were an accepted booking.
Issue store-specific and trade-specific records
