Move a Paper Snag List into a Digital Report
Moving a paper list into an app requires more than retyping the handwriting. Preserve the original references, connect the correct photos and decide when the digital record becomes the current working list.

Preserve the source before editing
Keep a readable copy of the original sheet with its project and visit date. Identify who made the notes and ask about ambiguous abbreviations before converting them into confident statements. A transcription should not silently add a cause, measurement or location that was never recorded.
Decide which material needs transferring. You may need all active observations while retaining completed historical sheets separately. Record that scope so the new digital list is not mistaken for a complete reproduction of every earlier visit.
Create one coherent item at a time
In Site Audit, create the project and add individual observations with locations and descriptions. Include the original paper reference in the title or description when recipients already use it. Add the matching photos and captions after confirming the component.

- Retain uncertain wording as a question to resolve.
- Split independently actionable observations where necessary.
- Cross-reference original numbers if the structure changes.
- Compare the resulting count with the source and explain differences.
There is no automatic paper recognition or CSV-import workflow promised here. This is a deliberate manual transfer with a review step.
Example of clarifying shorthand
A handwritten line such as “K door rub LH” needs interpretation from its author. After confirmation, it may become “Kitchen cupboard left of oven; lower corner contacts adjacent panel during normal opening.” Without confirmation, do not assume that LH refers to the cupboard position rather than the side of a door.
If a photo cannot be matched confidently, keep it out of a confirmed item until clarified. Use a new visit when necessary rather than attaching a plausible image from a similar room.
Set a cut-off and issue the new record
Generate a PDF and compare each item with the source sheet before distribution. Tell recipients which digital issue now governs updates and which original references it preserves. Keep the paper copy as part of the historical record.
