Hotel Room Maintenance Inspection Reports
Hotel maintenance observations need a room identifier and a usable access window. A photo report can explain the repair, while the operational system remains responsible for bookings, room availability and release decisions.

Coordinate with the room access process
Agree which rooms can be entered and when. Record the property, room number, visit date and areas included in the review. Avoid putting guest names, booking details or access codes into an inspection PDF that will be shared with contractors.
Site Audit is an observation and reporting tool. It does not synchronise with a reservation system or automatically mark a room out of service. Keep room-status decisions with the authorised hotel team and record the relevant coordination reference if needed.
Make repeated rooms distinguishable
Use a consistent route inside each room: entry, storage, main room and bathroom, within the agreed scope. Identify the component rather than relying on a photo of a common layout. “Room 214, wardrobe nearest entry, right door” survives a contractor seeing twenty similar photographs.
- Record visible finish damage and its precise position.
- Describe normal-operation observations without dismantling fittings.
- Separate missing items from damage to installed items.
- Note cleaning or protection that obscures the condition.
- Identify access timing needed for assessment or repair.
Technical testing and safety checks require the hotel's appropriate procedures and competent personnel. This report structure is not a complete hotel safety inspection programme.
Example: a repeated furniture issue
Suppose two rooms have drawer observations. Create distinct items with the room numbers and component positions, even if the furniture model is identical. Describe what happened in each room rather than copying a diagnosis from one to the other.
For Room 214, a note might say the bedside drawer contacted its adjacent panel during ordinary opening. For Room 216, the issue may be a visible chip on the front. Different observations may require different preparation, parts and verification.
Hand work over without losing operational control
Use consistent contractor assignments in Site Audit and export a checked selection with Pro when appropriate. Send the report with an agreed contact for access. A due date in the record is not a confirmed appointment, and an item marked resolved does not release a room for guests.
After work, document the result at the same component and pass the update to the authorised hotel team. Keep the report and operational decision connected by a reference. Use the contractor return-visit checklist to confirm access, and the inspector handover checklist when another person takes over the records.
