Confirm the required interface
Ask how incoming punch items are issued and how completion evidence must be returned. A main contractor may require updates in a particular portal. An independent reporting app can support your own records but may not replace that required submission process.
Site Audit does not automatically import another platform's punch list or synchronise its status. If you recreate an item manually, preserve the main contractor's reference in the description so the two records can be matched.
Evaluate the tasks your crew repeats
- Can the person attending identify the exact component from the record?
- Can multiple photos and notes stay attached to one observation?
- Can the report explain partial work and access blockers?
- Does the required recipient accept a PDF or CSV export?
- Who will maintain the record when several people supply updates?
Avoid selecting software merely because it has many features. A tool must fit the agreed reporting channel, device and record ownership. Test capture and delivery on a representative job before moving your whole workflow.
Example of an incoming punch item
Suppose the main contractor issues MC-127 for a joinery door. Keep MC-127 in your working title or description, add your own location check and capture the relevant photos. Record the action your company performed and distinguish it from the main contractor's acceptance.
If access prevented attendance, state that clearly rather than marking the repair underway. If work was completed, provide the requested evidence through the agreed channel and preserve the submitted file or response.
