Agree the walk route and access

Coordinate the visit with the responsible site team. Record the accessible route and any restricted or active operating areas excluded from the inspection. Follow site movement arrangements rather than stepping into operating zones to obtain a photograph.

This guide does not cover rack certification, lifting equipment checks, structural assessment or machinery safety inspection. Record a concern for the appropriate competent person; do not infer fitness for service from a photo report.

Use identifiers that maintenance staff recognise

Include the building, aisle or bay, and fixed component reference where available. If a location sign appears in the context image, confirm that it matches your written note. A wide shot of similar roller doors can otherwise become ambiguous.

• Record the observed condition and when it was seen.
• Identify the specific surface, door or other component.
• Note whether stored goods or operations prevented a full view.
• Record the maintenance or assessment route requested.
• Keep operational instructions in the site's authorised process.

Avoid using a pallet or movable stock as the only location reference. Use fixed markers or agreed asset identifiers, while making clear that entering an identifier in a description does not create an integrated asset-management system.

Example of an accessible maintenance item

For example: “Building A, pedestrian entry beside Bay 06, internal door face. Visible damage to lower finish panel. Observed from pedestrian access route; no assessment of door performance undertaken.” Add the context and detail images and the nominated coordination contact.

If another person reports that the damage followed a particular event, attribute that statement. Do not turn reported history into an established cause. Keep event or incident reporting in the appropriate system and cross-reference it only where relevant.

Connect the report with the facilities register
