Rental Property Maintenance Walkthrough

An occupied rental walkthrough needs an agreed route and a clear separation between what someone reported and what you observed. Organise the visit so repair questions can be recorded without collecting unnecessary details about the occupants.

Prepare the visit and record its scope

Confirm access through the property's authorised process before attending. Identify the areas and maintenance concerns to be reviewed. This is a practical reporting workflow, not advice about entry rights, tenancy notices or any required condition form.

Create a property-specific record with the address and visit date. Keep reported concerns available as prompts, but do not copy them into the report as verified findings. “Occupant reports intermittent noise” and “noise observed during this visit” describe different evidence.

Use a room route without forcing access

Start at an agreed point and record each accessible room in sequence. For every observation, identify the room, component and position. Note rooms that were unavailable, partly obscured or outside the visit scope instead of leaving an unexplained gap in the record.

  • Ask which reported issue the occupant is describing and locate the exact component.
  • Record the condition visible at the time of attendance.
  • Take context and detail photos that avoid unrelated personal belongings.
  • Identify the next person or company who needs to respond.
  • Note access arrangements that must be agreed for a repair visit.

If a concern needs urgent attention, use the property's established escalation process. Recording an item with a high priority does not send a notification or arrange attendance.

Example of a reported and observed issue

For example, the occupant reports that a cupboard door sometimes catches. During the visit you observe contact at the lower corner on normal opening. Record both the source of the original report and what you observed, then add a photo locating the cupboard.

If the issue cannot be reproduced, say so. A useful note is “Intermittent contact reported by occupant; not observed during the permitted check at this visit.” The next action may be further assessment rather than closing the concern as disproved.
