End-of-Lease Repair List for Contractors

An end-of-lease repair list helps a contractor understand work proposed or agreed for a property. Keep that operational list distinct from decisions about responsibility, deductions or the legal meaning of a make-good obligation.

Record observations before allocating responsibility

Identify the property, visit date, areas viewed and any source condition record used for comparison. Describe the current visible condition in neutral terms. If another person supplies a history or explanation, attribute it rather than presenting it as your own finding.

This guide does not determine tenancy obligations or replace required forms. The authorised property process should decide which work is agreed and who bears responsibility. Mark unresolved scope questions clearly so a contractor does not mistake them for approved instructions.

Build an actionable list

  • Identify the room, item and precise position.
  • Describe the condition and attach relevant context and detail photos.
  • State whether the proposed work is agreed, awaiting assessment or awaiting a decision.
  • Record the nominated contractor only after the route is known.
  • Identify access, removal or preceding-work dependencies.

Avoid combining cleaning, repair and replacement into a single ambiguous entry. The contractor needs to know whether the task is to assess a mark, perform an agreed action or price a possible option. Those are different requests.

Example of a scope question

For example: “Office kitchenette, lower cupboard beside entry. Surface mark on door face. Current condition recorded; assessment requested to establish whether cleaning or another treatment is appropriate. No repair instruction issued at this stage.” Include photographs that show the location and condition.

Once an authorised decision is supplied, update the next action and record its source. Preserve the earlier observation so the reason for the instruction remains understandable. Do not use a status change alone to imply that responsibility was accepted.
